Counseling Practice Experience and Skills needed in these areas:

Mental Health Virtual Assistant Support:

  • Schedule management using Therapy Notes.
  • Managing emails and voicemails.
  • Generating superbills for clients to submit to their insurance companies.
  • Benefits and Eligibility Verification Processing Co-Pays and Self Pays.

Client Communication:

  • Returning client calls promptly with a high degree of professionalism and sensitivity.
  • Handling intake calls Screening new clients.
  • Coordinating new client intake forms
  • Updating client electronic health records

Billing Services:

  • Billing clients and posting payments into practice software.
  • Submitting insurance claims.
  • Entering payments from EOBs into practice software.
  • Troubleshooting claim denials.
  • Benefits and Eligibility Verification.

Billing Assistance hourly wage to start at $15 and increase with practice volume over time (6 months). Candidate should understand that payment is based on a small practice accepting insurance for the first time and be willing to maintain a working relationship as we scale our practice thus, increasing the hours worked and hourly pay within 6 months.

This position is a part time position to start working 15 to 20 hours a week offering virtual administrative assistance and processing insurance billing for clients.


  • Proven experience in front office work in a counseling practice and as billing specialist for 2- 5 Years.
  • Adherence to laws and best practices in regards to dealing with clients, billing and insurance data.
  • Comfortable dealing with clients, retrieving intake information and processing insurance information.
  • Excellent Customer Service skills.
  • Excellent knowledge of Therapy Notes and MS Office (particularly Excel).
  • Proficiency in English.
  • Results-driven, calm, and patient.
  • High degree of attention to detail and trustworthiness.
